A 200 km per day allowance is included in the rental price. Each additional kilometre is charged at $0.35. Mileage is pooled over the entire rental period, not per day.
The vehicle is fully insured. A deductible applies in the event of a claim. The renter must be at least 25 years old, hold a valid driver's licence for at least 3 years and have a clean driving record. Proof of personal insurance may be required.
Roadside assistance is included for the entire rental period. In the event of a breakdown, our team is reachable at all times to help you and find the best solution.
Pickup takes place at our Québec City workshop. A full walkthrough of the vehicle and its systems is done with you at departure. On return, the vehicle must be brought back with a full tank of fuel and the grey-water and toilet tanks emptied. A cleaning or emptying package can be added on request.
A deposit is required at booking to confirm the dates. The cancellation and refund terms are provided to you at the time of booking. Feel free to write to us with any questions about your stay.

Conversion and rental of 4-season camper vans in Québec City.
You get 200 km per night to use as you wish over the course of your trip, unless you purchase a package or promotion from Van Trotter providing a different daily mileage. A fee of $0.50 per excess kilometre applies.
Basic automobile insurance, valid throughout Canada and the United States, is included with every rental to cover accidental damage to the vehicle as well as civil liability in the event of an accident. Anyone wishing to drive the vehicle during the rental must be listed on the rental contract and meet the following conditions:
It is your responsibility to inform Van Trotter of any change to your situation regarding your driving record since the time of your booking. In the event of false declarations, the automobile insurance coverage could be declared void by the insurance company and you could be exposed to criminal prosecution in the event of an accident or major damage to the vehicle.
Note that the applicable insurance deductible, regardless of the nature of the damage, is $2,500.00. Consequently, any repairs below this amount, notably the cost of repairing or replacing the tires and/or windshield, will be charged to you in full. If you wish to travel with greater peace of mind, you may take the enhanced insurance coverage, which offers deductible-free protection for all tire damage, for $10.00 per night, or the optimized insurance coverage, which offers deductible-free protection for all tire and windshield damage, for $20.00 per night.
To provide all our clients with vehicles that are as reliable as possible, all our campers are less than two years old and are rigorously maintained to manufacturer standards. As an additional precaution, roadside assistance is included with every rental. It is valid throughout Canada and the United States, 24 hours a day, 365 days a year. It includes the following services:
Note that Van Trotter will only assume towing costs not covered by roadside assistance in the event of a mechanical failure with no apparent external cause (see the Trip-interruption refund policy for details). For those planning to travel far into remote areas who would like greater peace of mind, you may opt for enhanced roadside assistance at $10 per day, offering towing up to 250 km, or optimized roadside assistance at $20 per day, offering unlimited towing.
A thorough cleaning of the camper is performed after every rental and is automatically charged at $105.00.
Our fleet is located at our premises, at 44 rue John-A.-Scott, Ste-Hélène-de-Breakeyville, unit 102. All rental departures and returns take place there, unless otherwise agreed in advance for delivery or pickup of the vehicle at a different location.
A parking space is available to you for the entire duration of your trip if you wish to leave your car at our premises during vehicle pickup. We simply ask that you leave us a key to your car so we can move it if needed. Note, however, that Van Trotter cannot be held responsible for any damage, theft or vandalism to your vehicle while it is parked in front of our premises.
On your arrival on the day of departure, please use one of the 7 parking spaces assigned to our business, namely those located in front of our unit, on either side of the central traffic aisle.
Vehicle pickup takes place at 2:00 p.m. on the day marking the start of your booking, unless otherwise agreed in advance for a different time.
Since a member of our team travels to our premises specifically to handle each rental departure, Van Trotter reserves the right to charge a fee of $25.00 per half-hour of delay where applicable.
For any pickup scheduled before 2:00 p.m., a fee of $20.00 per hour of early pickup applies. Each request is handled individually based on our booking calendar and may be subject to confirmation up to 3 days before the departure date. To make such a request, please leave a note on your booking form or contact us directly at [email protected] following your booking. Note that in the event of a delayed pickup, no discount will be granted.
On your arrival, we will sign the rental contract and physically verify the driver's licence of the drivers listed on file. For international clients, an international driver's licence will be required if the original licence is in a language other than French or English.
A security deposit of $2,500, payable by credit card, is also required at the time of vehicle pickup. This deposit will be returned to your credit card within 24 to 48 business hours after your return, unless the vehicle was involved in a road accident or suffered major damage during the rental. In such a case, the deposit will be held until the insurance claim is resolved.
Once the contract is signed and the security deposit taken, a period to review the important elements related to the operation of the various on-board equipment is planned to ensure your understanding and comfort in using them. Finally, a visual inspection of the exterior and interior of the vehicle, with photos and video, is also carried out together with you to record the condition of the camper at the time of your departure. This usually takes about thirty minutes.
The vehicle must be returned clean (see Vehicle condition on return for details) and emptied of all your personal belongings, by 10:00 a.m. on the day marking the end of your booking, unless otherwise agreed in advance for a different time.
As compliance with this rule is essential to allow our team the time needed to prepare the vehicle for the next departure, Van Trotter reserves the right to charge a fee of $25.00 per quarter-hour of delay where applicable, up to $500.00. Out of consideration for the next renters and for our cleaning team, please plan your schedule carefully around traffic and weather.
For any return scheduled after 10:00 a.m., a fee of $20.00 per hour of extension applies. Each request is handled individually and may be subject to confirmation up to 3 days before the return date. Note that in the event of an early return, no discount will be granted.
On the day of your return, we ask that you bring the vehicle back in a reasonable state of cleanliness. Specifically, it is expected that:
In the event of unsatisfactory vehicle cleanliness on return, Van Trotter reserves the right to charge additional cleaning fees of up to $100.
In addition, since the fuel tank is filled to full capacity for your departure, it is also expected that the vehicle be returned with a full tank. In the event of non-compliance, Van Trotter reserves the right to charge a refuelling fee of $25.00, in addition to the amount for the missing fuel.
As at your arrival, the vehicle will be visually inspected in your presence on your return. Note, however, that a more thorough inspection will also take place within the following 24 to 48 hours, during the full cleaning of the vehicle. Damage or missing items may therefore be found and charged to you even after the brief inspection done on your return. As a precaution, we recommend that you take an interior and exterior video of the vehicle at the time of your departure and your return.
Furthermore, as it is strictly forbidden to smoke inside the vehicle, any odour detected inside it will incur additional fees of $250.
Although we will of course do our best to inform you if we find an item belonging to you in one of our campers, note that Van Trotter assumes no responsibility for any items lost or forgotten in its rental vehicles. Items found will be kept at our premises for 30 days for in-person retrieval. If you would like your forgotten personal belongings returned by mail, shipping fees plus a $30.00 handling fee apply.
All fees related to driving the vehicle and using the road network during your rental are your responsibility. The corresponding amount will be charged to you upon receipt by Van Trotter of the payment notice and/or the offence notice, plus a handling fee of $20.00.
You must notify us of any damage, breakage or defect as soon as it occurs or is noticed so that we can take the steps necessary for repair on your return. Failing to notify us, Van Trotter reserves the right to charge fees of up to $500 should this cause a delay in delivering the vehicle to the following renters.
Any significant deterioration or major breakage occurring during your trip and noted by a member of our team on your return is your responsibility. This also applies to any damage caused by your animals, if applicable. Since the applicable insurance deductible, regardless of the nature of the damage, is $2,500.00, any repairs below this amount will be charged to you in full.
Any broken or missing accessory will be charged at cost price, plus a handling fee of up to $50.00. In the event of a lost vehicle key, a replacement fee of $750.00 applies.
Regarding damage to the vehicle, repair fees will be charged at an hourly rate of $95.00/hour if repairs are handled in-house, or at the rate set by an accredited supplier chosen by Van Trotter if the work is done externally, in addition to the cost of replacing equipment if necessary. An additional fee of up to $250.00 will also apply to cover the required handling and travel costs.
To cover handling costs and offset potential loss of revenue, the following rules apply when cancelling a booking:
Note that credit-card refunds may take up to 15 business days depending on your financial institution. In the event of a booking made abroad, Van Trotter fully disclaims any responsibility for a possible difference between the amount paid at booking and the amount refunded, this variation being attributable to fluctuations in foreign-currency exchange rates that may occur in the meantime.
Since it is practically impossible for us to re-rent our vehicles on short notice, no refund will be granted if you decide to cut your trip short, for any reason whatsoever, once the rental has begun.
In the same vein, no refund will be granted in the event of an unplanned trip interruption due to a vehicle malfunction resulting from your negligence, an accident or road hazard, theft of parts, vandalism, or a natural disaster. This also applies to any related costs that may be incurred due to this trip interruption and not covered by roadside assistance, notably:
Should you, however, have to interrupt your trip following a mechanical failure or a major defect of an essential component of the camper's rear living area with no apparent external cause, a refund will be issued pro-rated to the number of nights lost. A refund of costs incurred due to the trip interruption will also be granted upon presentation of supporting documents, provided they were approved by Van Trotter beforehand, up to an amount of $500.00.
All prices quoted in this document are shown in Canadian dollars and are taxable at the rates in effect in the province of Québec.
